Privacy Policy

Last updated: October 2026

Back In Action Sport Physiotherapy, operating as Back In Action Physiotherapy & Massage ("we", "us"), runs this website, backinactionphysiotherapy.com (opens in a new tab). As a private health clinic in British Columbia, we follow BC's Personal Information Protection Act.

What this policy covers

This website, and the emails and calls you send us from it. The site has no forms and never asks for health information; you can read all of it without telling us who you are.

Your booking and your health record are not covered here. When you click "Book", you leave this site for our Jane booking page (backinactionphysiotherapy.janeapp.com (opens in a new tab)), where Jane Software Inc. hosts your appointments, intake forms, clinical notes and payments for us under its Privacy Notice (opens in a new tab). Our own patient privacy notice and consent form, part of your intake in Jane, cover your health information; ask the front desk for a copy.

What we collect, and why

If you email or call us, we receive your name, contact details and what you tell us, and use them to reply. Please don't email detailed health information; email isn't secure.

When you visit, the site receives what every website does: your IP address, device and browser type, and the pages you ask for. The companies that host the site and deliver its images receive this to do their job and set no cookies; our page-view counter keeps no identifier.

Google Analytics (Google LLC) records the pages you view, condition pages included, how you arrived, the links you click ("Book", phone, email, directions, downloads) and which location or practitioner a "Book" link was for, plus your approximate location (city or region), so we can see which pages help people, fix problems and learn which channels lead to bookings. It doesn't store IP addresses, Google signals and ad personalization are off, and we build no advertising audiences from it.

If you turn on advertising cookies, Google Ads and Meta (Facebook and Instagram) also learn that you visited and whether you clicked a "Book" or phone link, so we can tell whether our ads work. The Meta pixel runs only on our general pages (home, team, locations, physiotherapy, massage therapy, insurance, contact and this page), never on pages about conditions, treatments, exercises or practitioners, and it receives a neutral event name, never what you booked. We never upload patient lists to advertising platforms, sell personal information, or use website data in decisions about your care.

Jane reports each booking, online or at our front desk, to our Google Analytics and Google Ads accounts: the appointment type, price and clinic location, never your name, contact details or health record, whatever your cookie choices. Our Google Analytics also runs on the Jane booking page, so a visit can be followed through to a booking, with the same limits. That page's cookie settings are Jane's: in BC it shows no banner, and its cookies stay on unless you turn them off with its "Cookie Preferences" button.

Videos are hosted on Vimeo and YouTube and load only when you press play, when the video company receives your IP address. Vimeo runs in "do not track" mode and sets no cookies; YouTube runs in privacy-enhanced mode and may set some once a video plays.

Your choices

When you first visit, a short notice offers two buttons of equal weight. Accept all turns on Google Analytics with its cookies, and advertising cookies for Google Ads and, on our general pages, Meta. Reject all turns them all off: nothing more goes to Google Analytics, it isn't loaded on later visits, and the cookies already set are deleted. Until you choose, advertising cookies stay off and Google Analytics runs; in the EU, UK, Switzerland and Quebec it sets no cookies and receives only cookie-free pings until you accept. Change your choice any time with the "Privacy choices" link at the bottom of every page; it takes effect at once and doesn't affect your care or your ability to book. You can also block cookies in your browser or use Google's opt-out add-on (opens in a new tab).

The cookies are Google Analytics' _ga and _ga_RQXN3NSJB3 (2 years), Google Ads' _gcl_ cookies (90 days) and Meta's _fbp and _fbc (90 days), set only as described above and holding no name or contact details. The site's own browser storage, bia_consent and bia_utm, holds your privacy choice and, for this tab only, the campaign tags on the link you arrived through; neither holds an identifier.

Who else handles it, where, and for how long

Only the companies above, for the purposes above, and we stay responsible for what they handle for us: Google (privacy policy (opens in a new tab)), Meta (privacy policy (opens in a new tab)), Jane (privacy notice (opens in a new tab)), Vimeo (privacy policy (opens in a new tab)) and the companies that host the site and deliver its images. The contractor who runs our ad campaigns sees their reports. We may also disclose information where the law requires it, for example a court order.

Google, Meta, Vimeo and our hosting company are based in the United States, and website content may be stored in the European Union; information outside Canada is subject to those countries' laws and authorities. Jane keeps our patient records in Canada and processes text messages, secure messaging and AI-assisted notes in the United States.

Hosting and image logs go within 90 days; Google Analytics deletes visit-level data after 14 months; advertising data is kept by Google and Meta under their own policies; enquiry emails are deleted once dealt with. If we ever use personal information to make a decision that directly affects you, we keep it for at least a year afterwards so you can ask for it.

How we protect it

The site is served only over encrypted connections. Only the people who need our analytics and advertising accounts have access to them, and we choose providers who commit to protecting what they handle for us. If we learn of a privacy breach that could cause you harm, we will tell you and report it to the Office of the Information and Privacy Commissioner for BC.

Your rights and how to reach us

You can ask what personal information we hold about you, how we've used it and who we've shared it with; ask us to correct it; or withdraw your consent on reasonable notice. Write to our Privacy Officer. We may need to confirm your identity, and we'll respond within 30 business days or tell you if we need longer. Access to your own information is free; a copy requested for you by a third party, such as an insurer or lawyer, may carry a fee, which we quote first. The same applies to your health record: ask the front desk.

Privacy Officer (our Office Manager)

If you're not satisfied with our response, you can complain to the Office of the Information and Privacy Commissioner for British Columbia at oipc.bc.ca (opens in a new tab) or (250) 387-5629.

We'll update this page when the website or our tools change, and ask for your consent again if we start using your information for a new purpose.
